Picnic shelter and outdoor event bookings

Glen Eira has more than 20 parks and reserves available to book for one of your events. Whether you are after a picnic shelter or rotunda for a barbeque, open space for your party or hosting something larger like a wedding you have come to the right spot. Please find below all the information you need to know for booking an outdoor event.

Booking information

  • For a list of our areas that are available to book, please see our open space booking locations (some areas are only bookable for certain types of events).
  • All bookings must be made online through our booking system.
  • A minimum notice of 5 business days is required for standard bookings (subject to availability). Larger events require a longer notice period.
  • The full booking fee payment is required within 48 hours of receipt of invoice.
  • Council BBQ’s are a free communal facility for all users of the park. They are not included as part of a reservation.

*Please note, Council will not be approving any bookings that exceed the State Government's restrictions in relation to public outdoor gatherings and events.

Picnic shelter and open space

We have a range of different picnic shelters and open spaces available to hire.

A minimum notice of 5 business days is required for all bookings (subject to availability).

What do I get with my booking?

  • Reservation of picnic shelter and table/tables underneath the shelter
  • Open space areas have no shelters included

  • Council BBQs are a free communal facility for all users of the park. They are not included as part of a picnic shelter reservation.
  • Equipment such as marquees, tables, chairs, external BBQs etc. are not permitted without written consent. If your event involves additions such as a jumping castle, stage, petting zoo etc. please refer to a Minor Event booking.

Booking fees and payment

  • Standard shelter and open space (booking as an individual) — $145
  • Standard shelter and open space (booking for an organisation/company) — $217
  • The booking fees for all event are a flat rate cost which includes weekday, weekend and public holiday bookings.
  • The full booking fee payment is required within 48 hours of receipt of invoice.
  • *Any additions to your booking or if you are hiring a third party for your event will increase your booking fee. (eg. marquees, external BBQs or a food truck) 
  • If you are a not-for-profit organisation or a local community group based within Glen Eira City Council, you may be eligible for a community facility hire grant to help assist with the booking costs. Visit our community facility hire grant page to find out more.

If you submit multiple bookings for different locations, your application/s will be declined. Only one online application will be received for an event. This is to ensure that there is a fair process and that everyone can make a booking as our picnic shelters are in high demand.

If your booking is cancelled due to COVID-19 lockdown restrictions you will be given a full refund of your booking fee.

Bookings for Booran Reserve

Due to hire demands for Booran Reserve bookings at this location have two set timeframes available for each shelter. Council will not accept bookings outside these allocated times:

  • Session 1: from 9:30am - 1:30pm
  • Session 2: from 1:30pm - 6pm
  • For enquiries around booking please check our FAQ’s listed at the bottom of the page or email recservices@gleneira.vic.gov.au.

Outdoor Minor Event – Under 200 people and/or bringing additional infrastructure

If you are planning an event or wedding that will require additional equipment (e.g. stage, jumping castle, petting zoo, food truck etc.), please use a ‘Minor Event’ application and have the following information ready:

  • How many attendees (including all adults and children)
  • Any additional infrastructure: marquee, stage, Chuppah, tables, chairs, jumping castle etc. (including dimensions)
  • Any third-party hire: DJ, band, photographer, catering, food truck, petting zoo etc.
  • Valid certificate of public liability for all organised groups (Council requires a minimum coverage of $20,000,000)
  • Alcohol: will it be served at the event
  • Timeframe: including set up and pack up
  • Any further details you can provide, please add this in the “additional notes” section of the application

Please note:

  • A minimum notice of 10 business days is required for all bookings (subject to availability).
  • The booking fees for all event are a flat rate cost which include weekday, weekend and public holiday bookings
  • The full booking fee payment is required within 48 hours of receipt of invoice.
  • Council BBQs are a free communal facility for all users of the park. They are not included as part of a picnic shelter reservation.
  • If you are a not-for-profit organisation or a local community group based within Glen Eira City Council you may be eligible for a community facility hire grant to help assist with the booking costs. Visit our community facility hire grant page to find out more
  • Please be aware that Council will require you to provide a COVID-19 safe plan which is has been specifically designed for your event in the “risk management” section of your application
  • If your booking is cancelled due to COVID-19 lockdown restrictions you will be given a full refund of your booking fee

  • Bond (refundable prior to the event pending no damage to the park) Amount is dependent upon Council’s risk assessment - From $500
  • Site inspection for events - $53

Outdoor Major Event – Over 200 people

If you are planning an event for over 200 people, please submit an ‘Event expression of interest’ form and have the following information ready:

  • Nature and description of the event
  • Background or supporting documents for your event
  • How many attendees (including all adults and children)
  • If you require any street closures or security
  • Any additional infrastructure: marquee, stage, Chuppah, tables, chairs, jumping castle etc. (including dimensions)
  • Any third-party hire: DJ, band, photographer, catering, food truck, petting zoo etc.
  • Valid certificate of public liability for all organised groups (Council requires a minimum coverage of $20,000,000)
  • Food, drink and alcohol: will it be served at the event
  • Timeframe: including set up and pack up
  • Any additional licences including traffic & risk management plans
  • Any further details you can provide, please add this in the “additional notes” section of the application
  • Please be aware that Council will require you to provide a COVID-19 safe plan which is has been specifically designed for your event in the “risk management” section of your application
